What each part of Club Management is for and how to do the everyday jobs. Open it from Club in the menu. Only a club's Club Admins see it.
A new club also sees Get your club set up at the top: seven first steps (describe the club, create teams, set up a league and a season, invite members, log the first round, and put something on the calendar), plus collecting dues and adding a waiver if you want them. Each step ticks itself off as you do it, and the list goes away once the seven are done. Tap Hide this checklist to put it away sooner; Show the setup checklist brings it back.
The first page you see. At the top, Needs your attention lists anything waiting on you, in plain sentences, with a button next to each one that takes you straight to it. For example:
If the list says Nothing needs your attention right now, you're all caught up. Below it, At a glance shows your numbers (shooters, teams, upcoming events), and you can approve or deny team join requests right there.
Club Management is split into six big buttons: Overview, People, Schedule, Money, Paperwork and Club settings. Tap one, and if it has more than one page you'll see a second row of buttons for them. Every page starts with one sentence saying what it's for, and a How does this work? link that brings you to the matching part of this guide.
Everyone who shoots for the club, on any team: their team, their average over the last 30 days, and their handicap yardage. Type in the search box to find someone by name, or pick a team to see just that team.
Moving from a spreadsheet? Bring your roster and past scores in rather than typing them again. Save the spreadsheet as a CSV file (in Excel or Google Sheets, File › Save as or Download › CSV), pick Roster or Past scores, and choose the file. Nothing is saved yet: you see how many rows are ready and which rows have a problem, and why. Then tap Import.
Send news to your members: a closed range, a moved league night, a banquet reminder. Write a title and a message, pick who it's for (everyone in the club, or one league's shooters), and tap Send announcement. Everyone it's for gets a notification in the app, and it shows on their Dashboard and under Club announcements in their account menu. Leave Email it too ticked to email it as well, to members who get email notifications.
Members talk under Chat: one conversation for the whole club, one for each league, one for each team. Nothing is private, so a young shooter's conversations always happen in front of the club. You can read and look after every one of them; League Admins look after their leagues' and those leagues' teams', and Squad Leaders their own team's.
For someone outside the club who should be able to follow your standings, such as a league secretary or a state association officer. Type their email and tap Send invite. They get an email with a link; once they accept, they can see your team and shooter standings, read-only. They don't join the club or any team, and they can't change anything. Shooters who keep their name private stay private.
A month-by-month calendar your members see (it's under Schedule in the main menu). Add a club event (a work day, a banquet, a fun shoot) with its date, time, place and an optional flyer picture. League nights from your seasons appear on it automatically. Tap a flyer to see it full size. To change or delete a club event, tap Edit; Delete this event is at the bottom of the form.
One-off shoots with their own entry list, squads and scores. Create one with its dates, place and costs; shooters and teams sign up from the Schedule page's Tournaments tab and you approve them here. On the day, you can score it live on a phone or enter the scoresheets afterwards, and fix any score that was entered wrong.
Entry fees: set one under the tournament's Manage › Details. If your club takes card payments (see Dues), shooters can pay it by card from the tournament's page, straight into your club's Stripe account, and you see who has paid under Details. Paying doesn't enter anyone: you still approve sign-ups. Refunds are made in your Stripe Dashboard and show up here on their own.
A season is the stretch of dates a league runs, such as "Fall 2026, Sep 1 to Nov 30", optionally with its regular night ("every Tuesday, 4 to 8 pm"). Tick which leagues belong to it. Standings can then be shown for just that season, and when it ends Trap Stats prepares the end-of-season awards automatically. Open them from the Awards button next to the season; you can print them for a banquet. The regular night is under More details in the season form, and Delete this season is at the bottom of it (no scores are lost).
Pick a league at the top to edit its details: where and when it shoots, costs, contact person and description. Add divisions if the league is split into skill tiers. Two tick boxes decide whether new teams and individual shooters can sign up; untick them to close sign-ups without deleting anything. Individual sign-ups waiting for approval appear on the right.
Each league can use a handicap, or none; they're off until you turn them on. Open Schedule › Leagues, pick the league, and scroll to Handicaps.
A record of what each member owes the club and has paid. It opens on Owes money, the people who still owe, with the totals above: what's still owed and what's been collected. Tap Everyone, Paid up, Paid ahead (paid more than they owed) or Not signed up (shooters on a roster without a Trap Stats account) to see others. People with nothing recorded yet are tucked away under a Show link. Tap a name to see their history, record a payment or add a charge. How members pay, card payments and reminders are under Payment settings, below the list.
You can also turn on automatic reminders (every week, two weeks, month or two months) and card payments through the club's own Stripe account. Shooters on a roster who don't have an account can be charged too; add their email so they can get requests.
For range nights. Type a few letters of the shooter's name and tap them, tap + for each round of targets or box of shells they're buying, then tap Paid (pick Cash, Card, Check or Online first) or Put on their tab. It uses the prices you set in the Prices box on the Dues page, so set those first. Each sale shows up on the Dues page like any other charge.
Your Trap Stats plan. The free plan reads 40 scoresheet photos a month; typing scores in by hand is always free and unlimited. The paid plans read more photos and add branding, season-by-season trends, the website data link and outside viewers. Upgrade, change plans or cancel here; no card is needed for the free plan.
Write (or paste) your club's liability waiver once. Members sign it on their phone with their name and date of birth; a parent or guardian signs for a minor. Each signature keeps a copy of exactly what was signed, which you can print. Visitors without an account can sign from a link or a QR poster you print for the clubhouse.
Download scores to open in Excel or Google Sheets, or to type into another system. Pick the dates and teams, then Download rounds (every shooter's score for every round) or Download shooter summary (one line per shooter). The League weekly sheet lists each athlete's rounds for the week in the order you'd enter them into your league's system, and prints on one page.
Download everything (ZIP) gives you one file with a spreadsheet for each part of the club: members, teams and rosters, leagues and seasons, every score, tournaments, the calendar, dues, waiver signatures and announcements. Keep it as a backup, or take your records with you if you ever leave. Passwords, phone numbers, addresses and dates of birth aren't included.
On a paid plan, add your club's logo and color to your public leaderboards. You can also turn on a website data link (a private key) so a club website can show your live standings; whoever builds your website will know what to do with it, and the details are in the club API guide.
